About the role

Job title: Personal Assistant

Reports to: Directors

Based at: Head Office, working five days a week from Head Office

Scope

We are seeking an enthusiastic, hardworking personal assistant to Directors, helping them to make the best use of their time by dealing with secretarial and administrative tasks.

Key Responsibilities

  •  Data management and electronic filing
  •  Arranging travel and accommodation
  •  Taking notes meetings or providing general assistance during presentations
  •  Screening emails, enquiries, and requests, and handling them when appropriate
  •  Organising and maintaining diaries and making appointments
  •  Dealing with incoming emails, corresponding on behalf of the directors
  •  Carrying out background research and presenting findings
  •  Ensuring the directors are well prepared for meetings
  •  Liaising with clients, suppliers, and other staff
  •  Preparing documents
  •  Implementing initiatives to streamline and improve business operations

Skills and experience 

People and communication skills are key. You must be capable of using your personality, in addition to your expertise, to influence situations.

Ability to manage spreadsheets, organise files and arranging diaries on Microsoft Outlook.

Completed secondary education with two A levels, and either having completed additional education in business or a related field or with three years experience as an office or administrative assistant.

Experience in real estate could be beneficial.

Competencies and behaviours

We focus on clear communication and solid teamwork.

In addition, you need to be highly organised and able to adapt, whilst prioritising the needs of the directors.

You must possess the ability to work with confidence and self-discipline, taking ownership of tasks and being able to demonstrate sound judgement and decision-making skills.
